Rooms, kit, and stock under control

Model what you actually use: treatment rooms and equipment as bookable resources, consumables as tracked inventory. Clients only see times you can honour, and every product used is recorded against a real batch, not a guess on a spreadsheet.

Double-Booked Rooms and Mystery Stock

When a practitioner is free but the laser suite is not, or a batch expires mid-week without anyone noticing, you either let a client down or spend the morning firefighting. Scheduling and inventory need to follow the same rules: what is available, what is reserved, and what was actually used.

Feature breakdown

Book With Confidence

Resources Gate Availability

Tie services to the rooms or equipment they need, and availability only ever shows slots where everything required is actually free. Existing appointments and scheduled exceptions are factored in automatically.

Automatic Assignment

Lock the Right Asset

When a booking is created, required resources are assigned automatically so the same room or device cannot be promised to two people at once. Manual override stays available for when you want a human to make the call.

Batch-Level Stock

Track Every Vial and Bottle

Build a product catalogue with batches covering quantities, expiry dates, and supplier details. Drawing stock for a treatment depletes the correct batch in a recorded transaction. Expired or insufficient stock is flagged before anything goes through, and usage sits on the booking with optional treatment-area detail.

How it works

  1. 1

    Define your resources and inventory

Set up your treatment rooms, equipment, and any scheduled maintenance windows. For consumables, add products and record stock into dated batches with full quantity tracking.

  2. 2

Link services to what they need

Specify which services require which rooms or equipment, and enable product-driven workflows where treatments draw from your stock catalogue.

  3. 3

    Let bookings drive the record

Clients book only when staff and resources are both free. On the day, record product use against specific batches so quantities reflect what actually left the shelf. Low or near-expiry batches are flagged before they catch anyone out.

FAQ

Still have questions? Our team can help you get set up with confidence.

How do you prevent two clients booking the same room at the same time?

Resources are part of the same availability calculation as staff. If a room is in use, it simply does not appear as available for that slot.

What happens if a batch has expired or does not have enough stock?

The system checks expiry and quantity before any stock draw goes through. If either condition fails, the transaction stops rather than going through silently.

Are resources and products the same feature?

They solve different problems but work together. Resources manage schedulable assets like rooms and machines. Products manage consumable inventory like injectables and retail items. Most treatment-heavy clinics use both.

Schedule What You Have. Record What You Used.

Connect rooms and equipment to your services, tie treatments to real stock batches with expiry dates and quantities, and give your team one place to run the day without overbooking or guessing what is left on the shelf.
